how to use invoiceit
on a PC and a
laptop (not networked)
|
Option 1
Moving datafile inv4data.mdb between a PC and a laptop
a) backup the file on PC to a memory stick (aka USB Flash drive) and
take the stick with you
b) copy the file from stick to invoiceit folder on Laptop (replaces
existing copy)
c) work with invoiceit
d) backup the file on Laptop to a memory stick and take the stick with
you
e) copy the file from stick to invoiceit folder on PC (replaces existing
copy)
f) work with invoiceit
Option 2 (registered users only)
Install guide using removable drive or memory stick (aka USB Flash
drive)
1) install the program on your PC, then transfer the download file
(inv42.exe) to the Laptop and install from there also.
2) Enter the registration code (same on each installation).
3) on your PC, copy the datafile "inv4data.mdb" to your
removable drive (say in a folder called "invoiceit") if you
intend to use the sample data file, I suggest you also copy
"inv4test.mdb".
4) go to Setup and click the Network button at lower left. Link your
program to the datafile, now located on your removable drive.
5) repeat step 4 on your Laptop.
Important: the drive letter of the removable drive MUST be the same on
both computers. If not, change the drive letter designation, or have it
done by a computer guy.
Invoiceit will not work unless the drive has first been inserted.

are there any known
issues?
|
using the mouse scroll wheel: it
is not supported when you are in the line items section of invoice or
quote. The top line seems to disappear and can't be scrolled back with
the wheel. Click the arrows on the scroll bar instead. Also, you cannot
use the wheel in the 'Find List' sections.

How to back up data
|
To back up your data, set the
backup location on Setup page 4 (at lower right). The backup button is at the bottom of the Setup screen at far left.
Insert your disk/CD/memory stick or make sure the drive is ready, then click the button. It is suggested that you
manually backup your program file (inv4.mde) at least once, after you have done all your setup.

How to add
trading/payment conditions
|
On Setup page 6 the top portion 'Conditions for Invoices' (and the other two) is for entries on demand - you click a button 'Add Conditions' on the invoice input form to add them to those invoices where this text is appropriate.
The bottom portion 'Standard Invoice Message' is for conditions or messages on all invoices - it is added automatically to every invoice. You can remove it on the invoice input form, if not required on a particular invoice.
Click on the help button (red exclamation mark) on Setup page 6 for more information.
Setting Conditions: Click one of the buttons above the large white field at top right first and the field changes color. Now type the message
(replace the existing text) and it should be available for the selected document.

How to
set up a Credit
|
To do a credit, click on Invoices, then proceed to enter the client and continue
a) if you have inventory - enter Quantities prefixed with minus sign (i.e. to credit 10 items, enter -10 in the quantity column)
or
b) if you don't have inventory - enter the unit price with minus sign (i.e. to credit 5 hours at $100, enter -100 in the unit price column)
Credits can be offset against invoices for the same client where you enter receipts (the 'money' button at
left - aka Receipt Entry).

How do I install on a
network?
|
Begin with installing on your server.
After installation, open invoiceit!4 and go to Setup to
customize the program. After this, copy or move the install file (the
one you downloaded) to your first network station and install from that
computer. Click on the Network button (at left on Setup) to set the path
to your server. When this is done, import the program settings from your
server installation on Setup page 6 (bottom left). Continue until all
network stations are installed and all point to the same data file on
your server.
Note: importing of program settings is disabled in the trial version.

Sending
bulk e-mail takes too long with Outlook
|
Problem: Outlook's security feature requires that you click YES (after a 5 second delay) on every email sent out. This can be time-consuming when e-mailing invoices in bulk.
The security feature was an upgrade in Outlook 2002 and standard from 2003.
Solution: FREE utility to bypass this when required. The software is called
Express ClickYES and you can download it from
by clicking on the link above.
You can switch it on when required and then back off again when you are finished sending the batch of emails.

An
invoice has gone 'missing'
|
Symptom: you locate an invoice in
'Find List' but when you double-click the ID it won't appear in the main
frame.
Solution: the client for this invoice has been marked 'Finished'.
Uncheck and return to the invoices list. The invoices for this client
will now appear again.
|

Setup Page 2 won't
open
|
Your logo has been moved or re-named. To enter the logo path manually, click on
the network button (Setup - far left, bottom) and type the logo path in
the box provided or use the browser. Close the pop-up form, click on Setup again, then
select page 2. Your logo should be visible. Note:
logo should be a bitmap file (.bmp)
|
|
Problems when starting
the program
|
If you get the error message "Can't find
database", click OK to remove the error message, then select
"Sample Data" on the black screen and click OK. You can return to
'My Data' next time you open the program.
|
|
Outlook Express
users: when trying to send e-mail, an error appears "Can't open the
mail client"
|
open Windows Explorer, go to your Windows folder and find your win.ini file. Backup that file, then open it, scroll down to the "[MAIL]" section and add the following line: "MAPIX=1" (without the quotation marks). Save your win.ini file as modified and reboot your computer. The next time that you attempt to use the Send To command from an Office or other application, like invoiceit, you should be in business.

I can't set font or
font color on setup pages (Win NT/2K/XP)
|
A Windows support file (comdlg32.ocx) may
not be registered properly. Locate a copy of this file in your program's folder
/setup and copy it to C:\Windows\System32 Then, open the run dialog box using "Start | Run..." and enter
Regsvr32 c:\windows\system32\comdlg32.ocx to register the
file. A confirming message should appear.

Can I modify the program
or code to suit our needs better ?
|
invoiceit!
comes with six detailed setup screens and many lookup tables which let you customize the program with aspects unique to your business. You can also export the data to Microsoft Word or Microsoft Excel for further analysis or publication. We do not recommend that you modify the data tables by renaming field names or adding new ones. Such custom modifications are not supported by
invoiceit! and void free support. The data tables are contained in inv4data.mdb
(your own data file). The source code cannot be modified.

I want to export my data to another application. How ?
|
You can send report data to other Microsoft Applications, such as Word, Excel or Notepad. Reports Menu -> Office Links
will send your report data to the application you
select in Office Links. Once there, you can modify the data using Word or Excel, as you require it. Files like this are saved using the name of the report from which you sent the data. Write down the name of the
document or worksheet while you work on it, so that you can find it again later.
To send to the notepad, select Reports Menu -> Output to Notepad.
To send the content of entire tables to other applications, you will
have to open inv4data.mdb instead, then use the above menu command.
You can also use the Export feature
introduced in invoiceit!4 with Release 16 -
from Setup, click on Import/Export button at the bottom. Most data
tables can be exported with this feature.
Note: The Import/Export button on Setup is disabled in the trial version.

Discount and Freight
can't be entered on invoice and quotation?
|
Click on 'Services' and enter two new
items, code FRT
(Freight) and DISC
(Discount). These two are needed for the freight and discount functions
to work and may be missing.

Vendors/Suppliers don't
show up in Inventory/Products

|
Start - Programs - invoiceit - Uninstall invoiceit!
Important: If you wish to retain your own data, make a backup copy of file
'inv4data.mdb' or 'inv_data.mdb'.
